Privacy Policy

vitaflow is an energy and state-aware task planning app. This policy explains what information vitaflow collects, why it is collected, and what choices you have regarding your data. vitaflow is built around a simple rule: nothing about your day gets rearranged without you seeing and approving it first — and the same principle applies to your data.
Who operates vitaflow

Information vitaflow collects
Account information. When you create an account, vitaflow collects your email address and, if you sign in with Google or Apple, basic profile information those providers share, such as your name, email address, and profile photo. vitaflow uses Firebase Authentication, a Google service, to manage sign-in. vitaflow does not store your password itself.
Information you give the app. To provide its features, vitaflow stores:
- Tasks you create — titles, scheduled times, durations, and the energy level or category you assign them
- Onboarding answers: your chronotype, your usual wake time and bedtime, what usually gets in your way, how your energy feels after lunch, and what you need after a stretch of deep work. You can change these later in Settings.
- Brain dump entries, personal notes, and your “something for me” activity list
- Daily energy check-ins and how you rated a task or a day afterward
- Records of focus sessions (“flows”) you run: planned length, actual length, and outcome
- “Energy changed” taps during the day, and Vita-Dice suggestions you skip along with the reason you picked
- A personal energy pattern that vitaflow derives from your check-ins, energy taps, and how your tasks went, used only to place tasks at better times for you
Voice and camera input (Brain Dump).If you record a voice note in Brain Dump, the audio is transcribed using your device's built-in speech recognition (Apple's on iOS, Google's on Android). Depending on your device and language settings, this transcription may happen entirely on your device, or your device may send the audio to Apple's or Google's own speech-recognition service to produce the text — vitaflow does not control which, and only ever receives the resulting text, never direct access to the raw audio. If you scan text with your camera, the text is recognized entirely on your device; the photo itself is never uploaded or sent anywhere.
Calendar access (optional). vitaflow can connect to your calendar to show your existing events alongside your vitaflow tasks. Two independent connections are available from Settings, and you can enable either or both — each can independently be set to read-only or two-way:
- Google Calendar.
- One-way (read-only). vitaflow reads event titles and times so they can appear alongside your vitaflow tasks in your daily view. vitaflow does not create, change, or delete events on your Google Calendar in this mode.
- Two-way. On top of reading, tasks you schedule in vitaflow can also be created as events on your Google Calendar, and update there when you edit or delete them in vitaflow. vitaflow only ever touches events it created itself — anything you add directly in Google Calendar is left alone.
- Apple Calendar.This covers every calendar already set up in your device's Calendar app — iCloud, a school or work calendar, or anything else you've added, including a Google account if it's also added there.
- One-way (read-only).vitaflow reads event titles and times from your device's calendars to show alongside your tasks. Nothing is ever created, changed, or deleted in this mode.
- Two-way. On top of reading, tasks you schedule in vitaflow can also show up as events on a calendar you choose on your device, and update there when you edit or delete them in vitaflow. vitaflow only ever touches events it created itself — anything you add directly is left alone.
You can connect Google Calendar and Apple Calendar at the same time; vitaflow merges events from both into a single view and avoids showing the same event twice. You can disconnect either connection, or change its sync mode, at any time from Settings. For Apple Calendar specifically, disconnecting only stops vitaflow from using the permission — the underlying access can only be fully revoked from your device's own Settings app.
Home screen widget.If you add the vitaflow widget, a short summary of today's upcoming tasks (titles, times, and energy levels) is saved on your device so the widget can display it. This copy stays on your device.
Waitlist (this website).If you join the waitlist on this website, your email address and your answer to “what makes planning feel hardest for you?” are stored using Supabase. They are used only to tell you when vitaflow launches and to shape its first version. To be removed from the waitlist, contact elfdodanli@gmail.com.
Information vitaflow does not collect. vitaflow does not intentionally collect precise location, contacts, photos, or browsing history. vitaflow does not use advertising trackers and does not display third-party advertising.
How your information is used
- To provide the app's core features, including scheduling, reminders, and adaptive replanning based on your reported energy
- To display Google Calendar and/or Apple Calendar events in your daily view and, for any connection set to two-way, create, update, or delete corresponding vitaflow-created calendar events
- To transcribe voice Brain Dump entries and recognize camera-scanned text, as described above
- To send notifications you choose to enable, such as morning check-in reminders
- To automatically collect crash reports and performance diagnostics (via Firebase Crashlytics and Firebase Performance Monitoring) so bugs can be found and fixed — this is technical data (device type, OS version, crash logs) and is not linked to your task content
- To maintain, troubleshoot, and improve vitaflow
vitaflow does not sell or rent your personal data.
Where your data lives
Your data is stored using Firebase and Google Cloud services. Access controls are used so that your signed-in account can access data associated with your account. Other vitaflow users cannot access your tasks, notes, or check-ins through the app.
Data transmitted between vitaflow and its backend services is protected using encrypted connections.
Your choices
- Delete your account. Settings → Delete account permanently removes your account and associated vitaflow data from active systems, including tasks, flows, brain dumps, reflections, and check-ins. This action cannot be undone.
- Disconnect a calendar.You can disconnect Google Calendar or Apple Calendar at any time from Settings without deleting the rest of your vitaflow account. For Apple Calendar, fully revoking the underlying permission also requires changing it in your device's own Settings app.
- Request a copy of your data. Contact elfdodanli@gmail.com to request a copy of the personal information associated with your account.
- Turn off notifications.You can change notification preferences in vitaflow Settings or through your device's system settings.
Data retention
vitaflow keeps data associated with your account for as long as your account remains active. When you delete your account, associated data is removed from active application systems. Some information may remain temporarily in backups or logs until those systems are overwritten or deleted as part of their normal retention processes.
Children's privacy
vitaflow is not directed at children below the minimum age permitted to independently use online services in their country. vitaflow does not knowingly collect personal information from children who are not legally permitted to provide it.

Changes to this policy
This Privacy Policy may be updated as vitaflow changes or as its data practices evolve. If a material change affects how personal information is handled, notice may be provided through the app or another appropriate method.
The “Last updated” date at the top reflects the current version of this policy.
